In Invoice Grabber, you can define where and how your invoice files are stored. That means that both the storage location and the naming convention can be tweaked for each ledger individually.

Storage location

Each ledger can have separate storage settings. Moving an invoice from ledger A to ledger B can trigger a file to be moved or renamed. All storage settings are defined per ledger:

Invoice Grabber, by default, will use the storage location that is tied to your Google or Microsoft account. When you first register your mailbox link, Grabber will initialize a drive folder where the invoices will be stored. (If you are in a professional account, you can opt in to a separate cloud storage on Invoice-Grabber itself.)

Example: you registered your Gmail inbox for the account 'test@gmail.com'. As this was your first account, the drive folder for this account will be taken as default. A folder called invoice-grabber will be created in the root of Drive. Any new ledger that is created will pick up that default storage location.

You can modify the storage location in the ledger settings.

Naming rules

If you like all files to be neatly sortable in your folder, you can define naming rules under ledger-settings > file storage.

You can modify the naming format by selecting and dragging components of the name. Any new invoice file will - after file parsing - set the date, supplier, file name, and invoice number.

You can define how date and casing formatting should be done.

In case the invoice parser did not recognize a date, supplier, or invoice number, the naming will add a placeholder.

Note: when moving a file or manually entering any of these fields, the invoice files can move to another repository and the naming can change according to the rules
